Position Overview

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support both business operations and household management for two key individuals, and multiple business entities. This role involves calendar management, communication handling, social media coordination, event planning, and real estate and property support, as well as occasional personal and family assistance, and personal and business errands.

The ideal candidate is self-sufficient, highly adaptable, and able to take initiative in managing tasks across multiple businesses and personal responsibilities. Discretion and trustworthiness are essential.

Key Responsibilities

1. Administrative & Business Support

  • Calendar & Email Management: Organize schedules, coordinate meetings, and manage inboxes to ensure priority items are addressed.
  • Bill Payments & Expense Tracking: Handle invoices, document payments, and manage expense tracking.
  • Property & Business Communication: Act as a liaison with property managers, vendors, and business partners.
  • Task & Project Organization: Identify bottlenecks, manage workflow, and research solutions to improve efficiency.
  • Travel Planning: Book flights, accommodations, and transportation, providing detailed itineraries.

2. Social Media & Content Management

  • Posting & Engagement: Manage and post daily content across TikTok, Instagram, X (Twitter), Threads, and LinkedIn.
  • Podcast & Video Repurposing: Use AI tools to transcribe and caption content for multi-platform distribution.
  • Content Scheduling & Drive Organization: Maintain a content calendar and organize assets in Google Drive.

3. Event & Meeting Coordination

  • Mastermind Meetings:
    • Schedule and manage invitations via Eventbrite and CRM.
    • Send reminders and confirmations via text and email.
    • Coordinate venue, catering, and logistics.
  • CRM & Contact Management: Maintain and update lists for networking events, partners, and business connections.
    Meeting Preparation: Ensure all meetings have clear agendas, required materials, and follow-up actions.

4. Real Estate & Rental Property Assistance

  • Short-Term Rental Management:
    • Generate and distribute door codes for Airbnb and Furnished Finder properties.
    • Communicate with guests and coordinate cleaning services.
    • Real Estate & Business Projects: Support due diligence, documentation, and organization of deals.

5. Personal & Household Assistance

  • Errands & Household Organization: Support personal and household tasks for both families.
  • Office & Mail Organization: Sort mail, flag action items, and maintain office spaces.
  • Transportation Support: Occasionally provide rides for family members when needed.

  • Highly organized, proactive, and detail-oriented.
  • Strong problem-solving skills and ability to work independently.
  • Tech-savvy with experience in email management, scheduling tools, and AI-powered content creation.
  • Excellent communication skills, capable of interacting professionally with business partners, vendors, and clients.
  • Discreet and trustworthy in handling sensitive business and personal matters.
  • Flexible and adaptable to a fast-paced, entrepreneurial environment.

Work Expectations & Growth Opportunities
