Job Summary: The Administrative Assistant II serves as the office manager for the Office of the Dean of College of Arts & Sciences. The primary duties of the Administrative Assistant are greeting and assisting departmental walk-in and telephone visitors. Acts as a resource for the College of Arts & Sciences and builds effective, strong working relationships to enhance department operations and functions. Serves as a point of contact with other departments concerning routine aspects of the College of Art & Sciences.
Essential Duties & Responsibilities: - Provide administrative support services to the department in a manner that professionally, cordially, and efficiently assists students, faculty, staff, and visitors
- Explain and clarify rules, policies, and operating procedures to students, faculty, staff, and visitors
- Perform routine office duties and functions including purchase orders, travel requests, and other business-related activities
- Works closely with the Dean and Chair to assist with scheduling, reporting, and special projects, as well as facilitate activities related to the departments
- Gain expertise and remain current in knowledge of appropriate programs
- Embrace recruitment and retention efforts of the department and university, and support enrollment strategies
- Specific assignments are based on unit need and assigned by the supervisor which could include such things as departmental communications, maintaining department contact lists, office schedules, assisting with college events and accomplishments, and serving as a liaison to administrative offices for maintenance, work orders, and assistance

- Remains knowledgeable in applicable regulations, policies, and protocols
- Ability to work with, assist, lead, and take directions from others in the interest of moving processes and programs forward to the desired outcome
Work Setting: - Expectation of on-campus presence with attendance and punctuality
- Promote personal safety, safety procedures, and a safe work environment
- Reports to Dean of Arts & Sciences

Education and Experience
Minimum Requirements: - Two-year experience as a secretary or acceptable equivalent experience or education
- Strong written, verbal, basic math skills, and interpersonal skills
- Proficiency in Microsoft Office
- Utilize office equipment
Preferred Qualifications: - Knowledge of office management, bookkeeping, record keeping, and data management
- Such alternatives to the above qualifications as the President of SWOSU or their designee may find appropriate
